FOR IMMEDIATE RELEASE

Available today, Oracle E-Business Suite and JD Edwards ERP users get summary information and transactional details – down to the original source documents – all at their fingertips.

Denver, CO and PERRYSBURG, OH—Feb 22, 2012—

Oracle E-Business Suite and JD Edwards ERP customers now have unprecedented visibility into the accounts payable process, summary reports and transaction details with the new integration of InsightSoftware.com and Image Integration Systems.

The two companies have teamed up to provide an easy, intuitive interface from Insight Reporting that gives users the power to answer detailed financial questions through direct access to source documents and transaction workflow history in DocuSphere.

This newfound transparency has nearly limitless applications, including:

Accelerate month-end close. Speed up reconciliations by viewing summarized information in Insight Reporting, drill down to the transaction level, and instantly view an image of an invoice or credit note in DocuSphere.

Improved audits. Give auditors security access to Insight and DocuSphere, so they can view detailed transaction information and immediately match it up with source documents and workflow history associated with those documents.

Access documents in other repositories. Using DocuSphere’s Repository Connectors, provide users with a unified view across all company repositories (such as Microsoft SharePoint, Documentum, FileNet, and 30 others). Seamlessly link to these repositories directly from Insight reports.

“This move saves valuable time for our users,” says Paul Yarwood, chief executive officer InsightSoftware.com. “Our customers have always had the flexibility to view summarized and detailed information, and now we have eliminated the typical heavy lifting required to access source document details that created the transaction.”

“This integration is a real game changer for users of our DocuSphere All-in-One for Accounts Payable automation and other business process management solutions,” says Ron Kelley, principal and vice president of business development with Image Integration Systems. “It provides our mutual clients with immediate access to details they have never before had available so easily. We are excited to share this new capability with our clients and prospects.”

For existing InsightSoftware and DocuSphere customers who are current on maintenance, this functionality will be available at no additional charge. Contact either company for additional information.

We have been busy planning our user’s conference for this year. It has a new name (DocuSphere Connections) and a new format for this year. The conference dates for this year are June 11 – 15. We have spent a lot of time trying to come up with a format that provides our customers with the greatest possible value. Because of that, we are making some changes in how the week is laid out, and have also dramatically changed the fees for the training and user conference itself. I think our customers will find this to be significantly in their favor. After all, it is all about you!

Our first change involves the format. Traditionally, we have held training classes the first three days (Monday – Wednesday) with the general sessions being held on Thursday and Friday. We have had many requests to reverse the format, holding the general sessions on Monday and Tuesday, with the training classes to follow Wednesday through Friday and as a result we will do so this year. We will kick-off the conference with a “Welcome Reception” at the hotel on Sunday evening (June 10).

We have a great line up of sessions scheduled for Monday and Tuesday, including an outside speaker to discuss industry trends in Accounts Payable. We will also have complementary vendors here to discuss and demonstrate their new products. We will lay out our road map for the future of the DocuSphere product line, and also provide informative sessions on what’s new in DocuSphere. You won’t want to miss this, as we have spent more money on product development last year than in any other previous year, significantly enhancing our products. We have plans for this year that are equally ambitious.

We are revamping our class line-up to provide more appeal to a greater audience. Watch our web site for the list of classes. You are sure to find something of interest. These classes will be held on Wednesday through Friday at the conference site.

Probably one of the largest changes has to do with the fees for the conference. In the past, admission to the conference has been free of charge to all IIS customers and we charged a fee for the training classes, generally $800 per student day. Starting this year we will charge a reasonable fee to attend the conference, but the classes are available at NO CHARGE to ALL paid attendees. The fee to attend the conference will be $695 with a special reduced fee of $400 for early-bird registrations. The intention here is to encourage our customers to attend as much training as possible, thus maximizing their benefit and significantly enhancing the DocuSphere experience.

Registration will open online on March 1st. You will be able to register for the conference and any classes you wish to attend at that time. Early bird registration will be available through April 15. Please register early to take advantage of the large savings. Once you have registered, you will have an opportunity to modify your class selections online until just a couple of weeks ahead of the conference.

We have also enhanced the registration process to allow you to pay for your registration online with a major credit card. This is something else our customers have been asking for.

We will be providing meals during the first two days of sessions, as well as some special entertainment on Monday night. Conference attendees will be responsible for their own travel and hotel expenses. The conference will once again be held at the Perrysburg Hilton Garden Inn at Levis Commons. We have acquired special room rates for attendees who book their rooms while the room block is still open. As always, please register and book your room early as this hotel is a popular destination in this area and fills up fast.

Watch our web site (www.docusphere.com) for further updates on the conference.

We are looking forward to seeing you in June!

In working with a number of companies who are either looking to implement or have implemented accounts payable automation solutions, it has become painfully clear that one of the critical success factors to a successful implementation is having the business professionals (those who run and perform the accounts payable functions within an organization) and the information technology professions (those who implement and have day-to-day responsibilities for the care and feeding of various application software and underlying infrastructure) on the same page. To show why this is so important, I’ll describe a couple of common scenarios that may occur when AP and IT professionals are not working together.

I’ve had discussions with numerous companies whose IT teams pretty much unilaterally decided to buy a major vendor’s content management solutions without consideration of what that solution would do for them from an accounts payable automation and workflow perspective. After spending a substantial amount of money to acquire and implement those solutions, the IT team tried to work with their peers in accounts payable to implement automated accounts payable invoice processing. Unfortunately, those organizations found out the hard way that those enterprise content management solutions didn’t have strong workflow components and weren’t well suited for such situations, and they’ve had to take a step back to see what alternative solutions they could use for accounts payable automation.

On the flip side, we’ve also seen accounts payable departments who have gotten very excited about the potential benefits they could gain from accounts payable automation and have run off to evaluate and select a solution without IT’s involvement. While accounts payable organizations should be able to understand the benefits a given AP automation solution could bring them and how they’d use that solution to improve their day-to-day operations, AP personnel aren’t the ones who would procure and implement the underlying IT server, database, and security infrastructure and install and configure the solution to work in that company’s given technology environment in conjunction with their ERP software. This type of effort requires IT’s involvement. There have been numerous examples where business functional personnel have gone off and selected solutions only to have the lack of IT resource availability at a given point in time stall the project for months on end.

So, what’s the best answer to this situation? We encourage companies considering accounts payable automation initiatives to get their accounts payable and information technology teams on the same page up front – to have them map out a plan together to ensure smooth solution evaluation and implementation. We would be pleased to discuss any aspects of an accounts payable automation evaluation, selection, and implementation with you; and we’d be pleased to help you evaluate the potential advantages our team and our DocuSphere solution would deliver to your business.

PS: If you’re one of those organizations that have implemented an enterprise content management solution only to find out it didn’t provide the capabilities necessary to implement accounts payable automation, we’re likely to be able to help you with that situation as well. Our DocuSphere solution can work with 30+ other enterprise repositories in addition to our own DocuSphere Content Manager via our DocuSphere Repository Connectors – so we can likely help you bridge the gap to leverage the solution you already have while providing the benefits you need to achieve through accounts payable automation and beyond with other business process management applications.

Cold weather makes people think about vacations. Whether it’s a week skiing in the Rockies or sunbathing on a beach in Florida we all daydream about getting away. But vacations take planning… and scheduling… and approval. You need to be sure your employer is going to give you the time off before buying those plane tickets and new swimsuit!

So consider the average company. The process to request time off is to complete a paper form – maybe it’s an electronic document – and give it to your boss. But then what happens to that form? Maybe it sits on your boss’s desk for a few days… or weeks. Maybe by the time he gets around to looking at it the schedule is too full and the week you want is no longer available. So much for swishing down the slopes or sipping margaritas on the white sand.

Now consider the DocuSphere solution. DocuSphere Workflow software is adaptable and flexible enough to allow you to create your own workflows, including one to manage the process of time off requests and approvals. In fact, as a company, Image Integration Systems has done this very thing.

We have an internal workflow that is not paper-based, but instead allows the employee to create a request directly in the software. The employee enters the specifics of the requested time off – whether it is for vacation, bereavement, or even jury duty. The request is then automatically routed to the employee’s manager who receives an email notification of the request to be reviewed. The manager continues to receive reminders each day until the request is reviewed and completed. Whether the request is approved or rejected the employee is notified by email when the review is completed. At the same time, approved requests are also routed to payroll so that they can make the necessary entries to properly record the time.

By transferring this typically paper-based process into DocuSphere workflow, IIS has not only gained traceability, but has also shortened the time required to review time off requests. Requests are now reviewed in an average of 2 days as opposed to a week – or often several weeks – in the previous paper-based system. Employees have visibility into where the request is in the process from the moment they create it. No more “black holes!”

This is just a single, simple example of how DocuSphere can be used to improve all kinds of processes. Check previous and future blog posts for other ideas of how to expand your investment in the DocuSphere product.

If you are running JD Edwards or Oracle E-Business Financials, your world just got better. By a bunch. I had the opportunity last week to sit in on a demonstration of a new interface that connects our DocuSphere suite of products with InsightSoftware.com’s reporting products for JD Edwards and Oracle E-Business.

InsightSoftware.com has long had the best reporting tool you can get for reporting against your JDE data. In recent years they have added a like offering for the EBS line of ERP software. While we all love our JDE and EBS systems, it can be a little hard to get some of the reporting out of them that you want. Insight makes it simple and fast. If you don’t have it, check it out at their website.

At Image Integration Systems (IIS), our DocuSphere software suite has long been the best integrated workflow and content management application suite for the JD Edwards ERP products (World and EnterpriseOne). In addition to great integration for standard workflow and documents across a host of applications in JDE, DocuSphere has the best Accounts Payable Automation you can get for JDE and now for Oracle EBS and SAP.

Now these best of breed products can work together to close the loop on gaining visibility into your ERP data, transactions, and associated documents. IIS and InsightSoftware.com have worked together to provide an interface from the Insight Software Suite (for both JD Edwards and Oracle E-Business Suite) that allows you to drill down from an Insight Report directly to supporting documents or workflow transactions in DocuSphere.

The set-up is simple, fast, and flexible. From your Insight report you can select key linking fields (such as JDE company number, document number and document type) to be used for the drill down. Once configured (a matter seconds or, at the most, minutes) you can click inside the report, select the drill down method (you can have multiple configured per report) and the Insight Report will instantly drill down into DocuSphere to select the matching DocuSphere document(s) and DocuSphere will display that document to you.

Just imagine that you are working on a month-end closing in JDE or EBS and trying to reconcile a particular expense account. You can open an Insight report, find the account in question, drill down to the transactions, find a transaction that you have a question about and then click on it to have an image of the associated invoice (or credit note) appear instantly on your desktop. Would that help?

Are you a public company subject to audits? How simple would it be to give an auditor access to Insight Software reporting and DocuSphere thus allowing them full access to the transactions, documents, and workflow history for all of your accounts payable? They can see the invoice, see who approved it and when, all without having to dig through files or have your busy staff dig through the files for them.

To make this even better, with DocuSphere’s repository connectors, if you have documents stored in other repositories such as SharePoint, Documentum, FileNet or one of the close to 30 major repositories DocuSphere has connectors to, you can access those documents via this interface as well. DocuSphere, with its connectors, can provide a unified view across all of your repositories for searching within DocuSphere or by linking from Insight Software.

The drill down links can be set up to use ANY field on your Insight report that is also in DocuSphere.

If you are an existing Insight Software and DocuSphere customer who is current on maintenance, this functionality will be available at no additional charge sometime after the first of the year (Merry Christmas!). If you have Insight Software and not DocuSphere, or vice versa, you will want to contact someone at either organization right away to see how you can take advantage of this game changing integration and gain full visibility and control of your data, documents, and transactions now.

David Schmidt and Kathryn McMurry recently wrote a great article titled, “Are you ready for lean AP?” available via the Institute of Financial Operations website. In this article, the authors identified four trends to watch in the accounts payable profession:

Automation continues to grow;

AP goes mobile;

Supply chain absorbs AP;

Employee numbers decline.

Additionally, they observe a key shift in the accounts payable profession:

“Gone are the days when a large part of the AP function was focused on entering data and processing payments. Now the focus is shifting to analysis and exception handling, which require higher-level problem-solving skills. The result is an AP function that is evolving to best benefit the ever-changing business culture it supports.”

Image Integration Systems’ DocuSphere solution for accounts payable automation enables lean AP through the following capabilities:

Automated workflow – according to the article, 46 percent of AP departments have a workflow system in place; these organizations require 25 percent less staffing than the average AP department primarily because of the automated workflow solutions they’re using.

Mobile AP – according to the article, the average knowledge worker receives more than 200 emails per day, with a growth rate at 40 percent per year; invoices and workflow alerts can be managed via mobile technology such as smartphones to combat overstuffed email inboxes.

Exception handing – rather than being focused on entering data and processing payments, AP personnel are shifting their focus to analysis and exception handing.

Dashboards and key performance indicators – AP is expected to provide more analytics while assisting with business intelligence regarding key performance indicators.

Employee numbers continue to decline with or without automation. All organizations and departments are being asked (demanded) to do more with less. Accounts payable organizations that deploy DocuSphere are well prepared to meet those demands, and since DocuSphere can deliver applications beyond accounts payable, organizations as a whole are positioning themselves to meet these same demands of doing more with less.

By the time you start your search for a software package to automate your AP process you have become aware the business process will be changing as part of implementing a solution. This may seem to be an overwhelming task, but if you use the right tools and follow the right steps, the journey for improving your business process can be fun and rewarding.

Why should you use Business Process Management (BPM)?

To improve a process

To change a process

To help manage the change: You need to fully understand the process and the implications of change.

Here are a few benefits of using a BPM methodology:

Help to organize around outcomes not tasks

Standardize processes across the organization

Implement better controls

Reduces costs

Reduces risks

As part of the standard implementation services offered by IIS, we assign a team of BPM experts to help you walk through the right steps and help you identify the areas needing improvements, as well as offer guidance based on best practices for accounts payable automation (or any other) business process. Here is what your implementation team from IIS will do to help you reach your goals:

Define High Level Goals

What problems are you trying to fix?

What are the project boundaries

What are the expected results and how can they be measured?

Define the current “as is” process state

Understand what you have before deciding what needs to change and what should not change

Interview and observe – listen and document

Identify risks

Transaction volumes

Technical infrastructure

Determine the Ideal State

You need to know where you are going before you can change

Identify opportunities for process improvements

Identify opportunities to employ new technology

Determine the “to be” process state

Apply ideal state to process constraints (Budget, technology, goals, boundaries)

Flowchart to-be process

Define Roles

Review with stakeholders and obtain buy-in

BPM is all about change, and using all of the right tools to analyze and define the new process will help you to succeed.

For further information about our product and implementation process, please Contact Us via our Website or call 419-872-1930.

Are you still manually keying invoices directly into Oracle Applications R12? Are you still manually matching your invoices to your Purchase Orders and Receipts?

If so, our DocuSphere All-In-One for Oracle E-Business Suite Accounts Payable may be the answer you have been looking for.

In general, EBS has a lot of steps to get an invoice ready to pay. Rather than continuing to manually key in your invoices, manually match your invoices to PO’s and Receipts, and wait for approvals, you could be spending your time on more valuable matters by implementing accounts payable automation with our DocuSphere solution. DocuSphere offers:

• Document management and scanning
• Data retrieval, validated from your existing EBS system
• Automatching, based on the invoice subtotal or line items
• Approvals and Authorizations, structured the way your organization prefers
• Auto Invoicing that automatically sends your invoice into EBS, ready to pay

In some cases, invoices can be inserted directly into Oracle with absolutely no user intervention outside of the scanning process, including when the invoice matches with a Purchase Order or the supplier has a distribution set attached to it. In cases where automatic creation is not possible, users are given the ability to manually match to a Purchase Order (2-way or 3-way) or manually distribute to the appropriate accounts (in the case of a Non-PO invoice), directly from our user-friendly DocuSphere interface before the invoice is pushed into the ERP for payment.

All data is validated using your existing Oracle E-Business Suite environment before the Auto Invoicing process executes and automatically creates your invoice in Oracle with integration through System Oriented Architecture (SOA).

If you would like more information about our DocuSphere All-In-One for Oracle E-Business Suite Accounts Payable, please contact us or give us a call at 419-872-1930.

If you are a JD Edwards (JDE) customer, you have been hearing from Oracle that you need to “Get to the 9s”. As the older releases of JDE World and EnterpriseOne (E1) software are losing premier and extended support, and with the focus on usability, mobility, and total cost of ownership in the highly anticipated new releases of JDE World and E1, many JDE customers are considering making a move.

Oracle is making it much easier for JDE customers to upgrade with new tools and technology, allowing customers to break down their upgrades into smaller, more manageable parts. Easier upgrade processes combined with an improved user experience including mobile applications and lower overall total cost of ownership is finally making the upgrade more attractive and almost a “no-brainer” from a business perspective for many long-time JDE customers.

Here at Image Integration Systems, we also strive to ease the upgrade process. Our DocuSphere accounts payable automation software, DocuSphere All-in-One for JD Edwards Accounts Payable, is built using standard interfaces and integration methodologies not only for data integrity gained by integrating in through standard methods, but also to protect our customers during a JDE upgrade. In addition, we take the extra step to “validate” our integrations with Oracle. As a Gold member of the Oracle PartnerNetwork (OPN) taking part in the OPN Applications Integration Initiative, we have earned “Oracle Validated Integration” for both JDE World and E1. This is a fee-based process that allows us to demonstrate our integrations to Oracle and receive their stamp of approval in the way of “validation” that we have integrated via standard Oracle methods. Oracle describes it best as follows:

“Through the Oracle PartnerNetwork Applications Integration Initiative, partners with validated integrations are able to provide customers with standards-based product integrations, tested and validated by Oracle. Customers benefit from improved risk management and smoother upgrade capability, leading to a lower total cost of ownership and greater overall satisfaction.”

Here is the link to the Oracle website listing all solutions partners that have had their integrations validated by Oracle: http://www.oracle.com/us/partnerships/solutions/index.html

As you move forward with your plans to upgrade to the latest JDE 9.x release, whether World or EnterpriseOne, rest assured that we will be there waiting for you. It is a priority here at IIS to test each new major release of JDE with our DocuSphere solution so that we are ready when you are. (Fortunately, since we have developed all of our integrations in a standard way, there is usually very little, if anything, that needs to be done from release to release.) In addition, we are continually looking at new integration methodologies available to allow our customers the most flexibility.

Whether you are a new or long-time JDE customer, completing a new install or upgrading, we can demonstrate our dedication, knowledge, and experience with JDE. If you are considering an AP Automation solution, we can offer you the products, knowledge and experience with both JDE and Business Process Management (BPM) to be your long-time partner as your business grows.
