The Situation. Turner Industries, an industrial contractor based in Baton Rouge, La., offers a wide range of services in the construction industry. From construction and equipment rental to maintenance, scaffolding and tank cleaning, Turner provides a number of diverse services through a structure of 17 industrial-focused companies with 14 regional offices.
Each month, Turner captures and processes as many as 15,000 vendor invoices, each with an average of 10 pages of support documentation. With a paper-based system spread across so many office locations, Turner estimates about one percent of these documents were lost, misplaced or illegible and needed to be recreated. The time it took Turner to locate or recreate these documents was a significant expense for the company. Turner was looking for a way to reduce these “unnecessary” expenses and increase the speed in which it received payment for services rendered.
In order to improve the accounts payable (A/P) and accounts receivable (A/R) processes throughout this large organization, Turner needed faster and more complete access to vendor invoices and support documentation, faster access to the documents required to invoice clients and the ability to differentiate its services and improve client loyalty by sending these documents to the client in electronic form.
The Solution. After a rigorous evaluation, Turner selected the DocuSphere® integrated document management solution from Image Integration Systems (IIS), a leader in business process improvement for high-volume transaction processing. Turner selected DocuSphere because of its ability for faster processing, reduced physical retrieval time, reduced copy and paper costs and decreased time between the receipt of a vendor invoice and creation of a customer invoice. DocuSphere was able to meet all of Turner’s requirements, including seamless integration with their JD Edwards World ERP system from Oracle, and integrating document management functionality into the existing ERP interface to simplify the user experience.
Some of the featured elements of the IIS solution include DocuSphere Content Manager, a complete thin-client-enabled document imaging and archiving system for viewing, managing and distributing all forms of electronic documents across internal networks and the web; and DocuSphere Workflow, a standards-based, thin-client-enabled system that automates enterprise-wide business processes across all applications and platforms using flexible, graphical management tools that easily create, maintain and secure workflow schema.
The IIS solution also includes the certified DocuSphere ERP Integration module for Oracle’s JD Edwards World ERP system, DocuSphere Pass-through-Billing, DocuSphere Web and DocuSphere Electronic Report Management.
Results. Using DocuSphere with Turner’s JD Edwards World ERP system significantly increased the productivity of processing invoices and led to recognizable revenue enhancements. The DocuSphere imaging and workflow solution is saving Turner more than $250,000 each year and decreasing direct processing costs by 50 percent. Additionally, Turner now has the ability to send clients a CD containing a searchable index of invoice images so they can easily find the information they need. This saves Turner and its customers time and money and helps to differentiate Turner’s services in a competitive industry.
