DocuSphere for Documentum

Organizations who desire to improve their business processes with DocuSphere Workflow and DocuSphere ERP integration, may also require Documentum’s broad suite of robust tools for the management of other records, documents and content. Recognizing that need, IIS partnered with Trinity Technologies, an EMC-Documentum Select Services Team member, to develop, implement and support the “DocuSphere for Documentum” product. DocuSphere for Documentum provides a seamless interface between the DocuSphere ERP-integrated workflow solution and the Documentum repository. DocuSphere for Documentum is now being used by customers in the construction, utilities and services industries.

DocuSphere® for Documentum is a powerful and cost-effective tool for automating and improving business processes across all ERP application systems and platforms, and is fully integrated with the Documentum content repository. DocuSphere for Documentum is tightly integrated with Documentum to take advantage of imaging, archiving and content management functionality, often a necessary component for successful business process improvement. And as with Documentum, DocuSphere for Documentum easily scales from a few users in a department to thousands across the entire enterprise.

At the heart of DocuSphere for Documentum is the Graphical Process Designer for development of comprehensive process workflow schema with easy to use “point and click” and “fill in the blank” functionality. Since no programming is required this is often the responsibility of the business process owner, arguably the best process expert. Other features include the web based user interface, integration with today's standard email systems and configurable conditions for activity alert or alarm messages. Workflow schema developed with the Graphical Process Designer are easily copied, edited, saved and published for use in the future.

Working with the companion ERP vendor certified DocuSphere for Documentum ERP integration products, workflow includes ERP-specific modules that dramatically decreases the human intervention required in accounting processes such as document matching, account coding and vouchering in accounts payable and service, or pass-through billing in accounts receivable. Built using DocuSphere for Documentum’s business process “agents”, these modules are excellent examples of the power and flexibility of the DocuSphere for Documentum architecture.
Certified interfaces are available for Oracle® (JD Edwards) and SAP®. Open integration via web services, API’s, etc., make integrating with other ERP systems an easy task. Based on (WfMC) Workflow Management Coalition standards to insure completeness and inter-operability, the workflow engine is both activity and/or document based. DocuSphere for Documentum runs on Windows 2000 and 2003 using MS SQL or Oracle databases, and is developed with Microsoft’s state-of-the-art .NET framework.

DocuSphere for Documentum automates complex, multi level approval processes. The most sophisticated business processes can be automated with a panoply of tools and rules based activities: routing for sequential, parallel, conditional, ad hoc and iterative processes; efficient work item sorting and filtering and automated workflow agents for ERP validation of process relevant data.

Business process improvement objectives include “faster” and “cheaper”, and also “better” in terms of measurement, control, and ultimately governance. DocuSphere for Documentum not only defines and automates; most importantly it standardizes the entire business process. A complete audit trail is created, from process start to completion, which becomes a permanent part of the transactional history. These data are the fuel for actionable performance metrics and management reports. Further control of the process is exercised with tools like proxy and group users; activity, user and document level access control; and process calendars. And management control in real time is afforded by the visibility of the entire process.
