Slow order fulfillment that is caused by a manually intensive, error prone process can be a serious threat to a business. One of our clients, a large construction firm was faced with just such a problem. Their fabrication division was enjoying significant growth, but putting all of the required compliance documents together that must accompany every order that leaves their facilities, was a burdensome task. Often, shipments were delayed or incorrect or incomplete documentation was assembled for an order. This was due to manual paper files and multiple information systems that held the required information.
By implementing DocuSphere Content Manager and Workflow, IIS built a solution that assures rapid and accurate assembly of the documents required for each order. All documents are scanned and stored in Content Manager where Workflow and DocuSphere “agents” interrogate each order for the required documentation and system information and assemble it into a PDF document. This document can be reviewed and amended, if need be and then printed as a package. Orders are processed and shipped faster, manual paper handling and data entry is minimized, and an audit trail of exactly what documents were provided is now stored and preserved. Faster, more accurate processing now assures them that growth in business volumes will not diminish order fulfillment speed or quality.
